Import items, parties and opening balances from Excel
Starting with hundreds of items or customers? Fill one Excel file and import it. You see every row, with any problem, before anything is saved.
Step by step
- Open Import from Excel. My data › Backup and other devices › Import from Excel (also on the Customers and Items sections).
- Download blank Excel file. It has three sheets: Items, Parties and Opening balances, with headings in the first row.
- Fill it. One row per item or party. Keep the sheet names and headings. Opening balance type: Receivable, Payable, Cash or Bank.
- Choose Excel file. The App reads it and shows Found … items, … parties and … opening balances, with What will happen for each row: Will be added or Already saved: will be updated.
- Fix problem rows or leave them out. Rows with problems (wrong GSTIN, unknown state code, HSN not 4, 6 or 8 digits, not a GST rate) are listed and left out.
- Import. Press Import … rows.
Worked example
A file with 240 items, 85 parties and 30 opening balances: the check says 3 rows have problems (one GSTIN typing mistake, one HSN of 5 digits, one rate of 28% for an item now at 18%). Fix them in Excel, choose the file again: "All rows look fine". Import 355 rows.
Common mistakes and how to fix them
- An old .xls file. In Excel use File › Save As › Excel Workbook (.xlsx).
- Opening balances with no business. Add your business first; opening balances are saved for it.
